The conference secretariat, K.I.T. Group, has pre-booked rooms in a selection of hotels located within the Brest area, some of them within walking distance of the conference venue, Le Quartz.  A map of the hotel locations and the full listing of hotels (supplementing the information below) can be found under "Associated Documents" 

Due to limited room availability, we recommend early hotel bookings.  Hotel accommodation is subject to availability and will be allocated on a first come, first served basis.

For hotel reserations we kindly ask you to submit your full credit card details, without which the booking cannot be processed.  Should selected hotels be sold out, K.I.T. Group reserves the right to book a hotel in a similar category and price range.

Rates indicated are per room and night in Euro and include breakfast and French VAT.  The "taxe de séjour" (city tax) will be added as follows:
3 stars: 1.14 Euro
2 stars: 0.94 Euro
1 star: 0.75 Euro
Not Classified: 0.37 Euro
The above tarriffs are valid per night and per person.

For the following hotels, a 4 day pass for the public transportation network (Bibus) in Brest will be included.  It will be valid throughout the duration of the conference (10-13 June 2009).

Terms of Payment

Upon receipt of the hotel booking form together with the full credit card details, K.I.T. Group will confirm your booking.  K.I.T. will charge the credit card on 4 May 2009 with the entire emount due for accommodation and send out an accommodation invoice.  From 5 May 2009 the credit card will be debited upon receipt of the booking.
No invoice will be sent until K.I.T. Group has received the full payment.
Should K.I.T. Group not be able to debit the provided credit card on 4 May 2009, the hotel reservation will be cancelled corresponding to the cancellation conditions (below).

Accomodation Changes and Cancellation

All changes and cancellations must be sent in writing (fax, letter or email) to K.I.T. Group.  Please note that hotels will not accept any changes or cancellations directly.
K.I.T. Group will charge a processing fee of 50 Euro for cancellations received by 17 March 2009.  For cancellations received between 18 March and 4 May 2009, K.I.T. Group will charge a cancellation fee amounting to the cost of one night.  For cancellations received after 4 May 2009, K.I.T. reserves the right to charge the full confirmed stay, if the hotel cannot be resold.  Cancellations free of charge are not possible.
For a reduction in the length of stay or in the case of a no-show, no refunds will be made.  The entire number of nights booked on the hotel booking form and confirmed by K.I.T. Group will be charged.  No-shows will be released at 09:00 the following day, and the accommodation will not be refunded.
